Coaching Agreement

By submitting the contact form and booking a session, all clients agree to the terms outlined in this Coaching Agreement. This contract defines mutual responsibilities, expectations, and the structure of coaching services.

2. Cancellation & Rescheduling Policy

To respect everyone’s time and maintain consistency:

  • A minimum of 24 hours’ notice is required for all cancellations or rescheduling.

  • Cancellations made with less than 24 hours’ notice, as well as missed appointments (no-shows), will be charged the full session fee.

  • Rescheduling requests will be accommodated when possible, based on availability.

3. Payment Terms

  • Single sessions must be paid in full at the time of booking.

  • Packages must be paid in full at the time of booking the first session.

  • Payments are accepted via E-Transfer and PayPal.

  • All sales are final. No refunds will be issued.

4. Session Format & Expiration

  • Sessions are offered virtually or in person, based on location and availability.

  • Each session includes individualized coaching specific to the client’s category, level, and goals.

  • Recap videos are included with each session upon request.

  • Package sessions must be used within six (6) months of the first session unless otherwise agreed to in writing. Unused sessions after this period may be forfeited.

5. Communication Policy

  • WhatsApp is used for all communication. Clients are responsible for downloading and maintaining access to the app.

  • Messages will be responded to as soon as reasonably possible.

6. Media Use & Privacy

  • Some sessions may be recorded or screenshots may be taken by Jaymie Caldwell for feedback and coaching purposes.

  • Select video clips or images may be used for promotional purposes (including social media and website content) unless the client specifies otherwise in writing.

7. Liability & Assumption of Risk

Coaching sessions may involve physical movement, posing practice, and body positioning. By participating in coaching services, clients acknowledge that physical activity carries inherent risks.

Clients confirm they are physically capable of participating and agree to take full responsibility for their own health and safety during and outside of sessions.

Jaymie Caldwell shall not be held liable for any injuries, strains, or physical discomfort that may occur during or as a result of coaching sessions, whether conducted virtually or in person.

8. Code of Conduct

Jaymie Caldwell is committed to creating a respectful, professional, and supportive environment. Discrimination, harassment, or inappropriate behavior will not be tolerated and may result in immediate termination of coaching services without refund.
